Why do we have this cancellation policy?
The month leading up to a clinic is a crucial time for planning and preparation. We group participants, create specific sessions, and map courses based on each individual’s riding ability. We pair participant groups with the most appropriate coach and create lists of emergency contacts and medical information for each participant. This is all a manual process.
When someone cancels we not only must take the time to find someone to fill their spot, but we must also adjust all of the previously mentioned planning documents. When a cancellation occurs just weeks before the clinic, it is almost impossible for us to fill the spot because of all the preparation involved. As a result, our cancellation policy also applies to emergencies and injuries.
This whole process is to ensure our camps provide the highest quality learning experience, in a safe environment, for all our participants. Thank you for your understanding!
